Student Responsibilities
Introduction
Student circulation assistants work alone or with others in
the Fine Hall Library in the evenings on occasion and on the
weekends. They assist Library patrons with all circulation functions.
Library hours for the Academic year 2003-2004.
M-TH 8:30am to 1:00am
F 8:30am to 11pm
SA 11am to 7pm
SU 1:00pm to 1:00am
Primary Job Duties
You are responsible for arriving on time and working during every scheduled
shift. Please remember that you were hired to work. The majority of your time
at the desk should be spent doing something for the library. If you prefer a
job that allows you the flexibility to do homework, surf the web, or visit with
friends, you should seek one of the University's many "sitting" jobs.
Serving patrons
Your primary responsibility is to serve the faculty, staff,
students, and guests who come to the circulation desk. This
service includes charging books, discharging and renewing library
materials, answering questions, giving directions, and referring
patrons to other staff who can help them. You will generally
be working with a staff member who should handle any problems
that arise. Staff will add and update patron records; discuss
fines, loan periods, and policies with patrons; and answer questions
about the library and its resources. If a patron is asking a
research question, please refer them to Steven Adams. If full-time staff are not available and you
are unable or uncomfortable meeting the demands of a patron,
please refer them to Steven Adams.
Desk Responsibilities:
- Responsible for the security of the Library's material during their shift.
- Charge, discharge, and renew library materials circulating
from the Fine Hall Library following guidelines in the Procedures
Manual.
- Use and assist patrons with the Main Catalog and other
on-line resources (i.e. Library web page and EReserves Reserves)
within Fine Hall Library
- Answer questions about circulation, reserve and library policies
- Give directional information
- Report all problems to either Student Supervisors or full time-staff.
- Handle items that lack barcodes or items that cannot be found in the circulation
database using the Manual Charge Form
- Shelving/Shelfreading:
- During each shift, shelve all returned reserve material
and returned reserve materials to the shelves.
- Discharge all materials in book return bins.
Other Related Duties
- Assist with the opening and closing of the Library.
- Search stacks for missing, in transit or overdue material.
For any problems that arise or questions that you cannot handle, post it in
the red CIRCULATION DESK REPORT BOOK and indicate patrons name and phone number
(if need be). Please initial and date the entry. Regular staff will get back
in touch with you or the patron as soon as possible. You might also advise any
patron with questions or problems, to come in or call us the next weekday with
questions.
Schedule
A master schedule is set early in each semester. Each student
is responsible for finding a substitute from the list of student
workers if he/she cannot work a scheduled shift. (see "substitutes"
section below) The master
schedule is posted on the Fine Hall Library web site. A
current list of student workers in the Fien Hall Library that
includes their phone number, and address, both email and room
is also posted in the website.
The master schedule is also posted on the Bulletin Board in
the circulation area.
Bulletin Board
- The bulletin board in the circulation area, is where relevant student employee
information is posted (e.g., the student schedule, memos, substitute notices,
etc.). Please check this area each time you work so that you are updated on
announcements, can sign up for shifts, etc. Our main mode of communication with
each other is the mailing list and the bulletin board, so please make sure you
check your e-mail regularly as well as the board.
Attendance Policy
Dependability is crucial at the FIne Hall Circulation Desk.
Although there may be day/evening full time staff working, you
are scheduled because you are needed to assist to the daily
functioning of the Library. Your presence is a necessary and
integral part in the smooth operation of the Library. Therefore:
- Know your schedule. There is no excuse for forgetting to come to work.
- Be on time. If you are more than 10 minutes late, it is an unexcused absence.
If you know you are going to be late, call and let either the Library full
time day or evening staff know, or when appropriate, the student supervisor
or student that you are relieving.
- Substitutions are your responsibility. If you do need
a substitute, you must request it via the mailing list (finestaff@lists.princeton.edu).
Be specific and include the date and times needed. Also,
when responding to sub requests, again, we request that
you be specific and include the date and time. As back up,
student staff phone numbers are posted on the Fine Hall
Library web site and a calendar will be provided by the
posted schedule on the bulletin board behind the circulation
desk. Please place your substitute information here as well.
Last minute subs can easily be remedied with a phone call,
so do not rely on the mail list alone. A good rule of thumb:
3-4 days before : e-mail
1-0 days before : start calling
- Student Supervisors will assist in closing on Friday nights, opening and
closing on Saturday, and opening on Sunday. If, for some reason, a Student
Supervisor is not available and you need to open the Library, contact the
Firestone Library security desk. They will sign out a key to you; it is your
responsibility to return it at the end of your shift. If the building is locked,
call Campus Security and they will open it.
- Absences are excused only for the following reasons:
- You are ill.
- You have a family emergency.
- You have to reschedule an exam.

You requested a sub early on and found coverage.
- Absences are unexcused when:
- You forgot your schedule.
- You oversleep or stop to get food.
- You don't request a sub.
- You requested a sub less than 24 hours before your shift and no one covered you.
- If you know you will be absent or late, please contact Library staff when
appropriate:
- full time day (M - F 8a to 5p)
- Please review the section on Termination in the Student Employment Handbook
(pg. 23). This Library will consider any unexcused absence as unsatisfactory
performance and the following disciplinary procedure will apply:
- One unexcused absence will result in an oral warning.
- Two unexcused absences will result in a written warning; a copy will be
sent to the Student Employment Office.
- Three unexcused absences are grounds for dismissal.
Substitutes
From time to time, you may not be able to make your scheduled
shift. It is your responsibility to find a substitute to work
your shift. There is no problem with having a substitute, but
you do need to keep us informed. We need to know who to expect
for a given shift in case there are any problems.
Typically, students e-mail a request to the group or make phone
calls to get a sub. In addition, please post the sub request
on the Circualtion Desk Bulletin Board. This is how we keep
track of who will be subbing for you Library staff will often
post it for you when a sub is requested and when subsequently
responded to via the mailing list., though it would be prudent
to verify that your request is indicated the sheet. If someone
takes your shift, see to it that it is posted on the sheet.
Library staff will know who is expected at what time. If you
have a last-minute sub request of course, that isn't possible.
Regardless, if you know that you will be unable to work at a
certain time, it is your responsibility to find a sub, not the
responsibility of the Library staff.
We expect you to make your best effort in trying to obtain a
sub for your shift. If, however, you have made a good faith
effort and are getting down to the wire with no sub, please
let the Library staff know. We realize there are times when
it seems that no one is available. It is much better for you
and for us if you let us know you are having a problem finding
a sub, rather than just not showing up for a shift. We will
try to help you find a sub, and may be able to work something
out with Library staff for you. Not showing up for a shift without
having contacted Rebecca Howley or Steve Adams is grounds for
termination.
If you have to get a last-minute sub and don't have time to post a note to
the Board, just drop us an e-mail or call to let us know who worked your shift.
Time Collection AND Payroll time slips
Student employees are paid biweekly, i.e., every two weeks. The current schedule

- Time Collection
- The hours that you work are posted online in the Princeton University Time
Collection database. It is bookmarked on the circulation terminals accessible
using your email log on and password. The hours you worked are posted in Time
Collection (total hours worked per shift/week/two weeks) AND written manually
on a Payroll time slip that corresponds to the current pay period.
It is your responsibility to maintain your hours on BOTH the Payroll time slip
AND within Time Collection. In addition, you must approve your time at the end
of the two week pay period.
If you are an undergraduate student, you pick up your paycheck every two weeks
(see schedule posted on the Staff Bulletin Board) on the first floor of New
South. If you are a graduate student, you pick up your paycheck in your home
department. No student may work more than a total of 40 hours for the University
per week in any capacity. You are responsible for seeing that you do not go
over this limit.
Protocol and Conduct
Approachability
You are the first person most patrons see upon arriving at the library. When possible, try to greet all patrons with eye contact, a smile, and a “Good morning/afternoon/evening.” You want them to remember you when they need help as someone who looked willing to help them. Also, avoid activities that make you appear unavailable such as putting your head down, or especially wearing headphones.
Upset patrons
Please remember that your primary responsibility is to serve the patrons who
come to the desk. Sometimes patrons are frustrated by the library's policies
or by the state of their library borrowing account. It is not your job to argue
or to negotiate with patrons. If a patron questions a fine or a library policy
or claims to have returned a book that still appears on their account, please
politely explain to the patron that he or she will need to speak to your supervisor
about such matters. It is also necessary to involve a supervisor whenever a
patron asks you to make any sort of exception to any of the library's rules
or policies.
Friends
Naturally your friends will stop by to speak to you at the desk. They should
never stand right beside patrons who are charging books and never sit behind the desk. Please be aware that
when you are being visited you appear to be busy and thereby deflect all incoming
patrons to your co-workers. This is inefficient and unfair. Please keep these
visits brief.
Using instant messaging software and checking email are like talking to your friends in person. Limit these activities to times when there are no patrons around. Make sure you never keep a patron waiting because you are finishing an online conversation.
Homework
Occasionally you will have time to do some homework at the desk; of course all
of your other responsibilities must be attended to first. If you are studying
at the desk please make sure that your work can easily be pushed aside to help
a patron. It is important to look up frequently to see if any patrons need your
help. When your nose is buried in a book or your body is draped across the desk,
most patrons assume that you are completely uninterested in helping them. Be
alert.
Computer use

In addition, we ask you to strictly limit the amount of time
spent using email and instant messaging. It is inappropriate
to download files and/or to play computer games while working
at the desk. The circulation computers have limited RAM memory.
Downloading such files will seriously hamper the computer's
performance capability
Circulation desk area
As stated already, patron assistance is our primary responsibility.
Because the circulation desk area is so small and confining we ask that you
be mindful of the following:
- Please place your personal belongings underneath the Circulation desk and
out of the way of the floor area behind the desk.
- From time to time, you will be asked to work on various projects during your
shift. Please make every attempt to do this work away from the Circulation process
area. Another alternative is to work off of an empty cart. Doing so will free
up valuable space at the desk area itself.
- Please dispose of food waste in the large metal bin in front of the staff room.
Opening the Library
- You should be at the Library at least 5 minutes before opening time to prepare
the Library for patron use.
- You will need a key to open. Obtain key from Rebecca Howley
prior to your shift.
- Do not open the doors until:
- The Math/Physics side and Biology side lights are turned
on.
- The photocopy machines are turned on.
- The Circulation desk terminals are on logged on.
- The overnight return bins to the left of the door are emptied. (The
key to the bin is in the drawer by the circ desk on the wrestling key chain) This is a very important step on weekends and any time Doug is out. Not emptying the bins on time results in unfair fines for our patrons.
- Open the front door locks across the bottom and use the
hex key to lock down the pushbar.
- Change the due date stamps as needed.
- Check-in all return bin material according to Circulation
desk procedures.
Problems that frequently occur:
- You're late. Please be prompt. More than any other patrons, the grad students
depend on your being here. Murphy's Law states: "It is always when you're
late that someone needs to get in".
- Patrons cannot enter the building via the McDonnell stair
doors entrance. We have an allen wrench key to open the
doors on the keyring with the front door hex key at Circ
desk.
Closing the Library
Students will close the library alone on weekday and weekend
evenings. Students working with other staff should assist in
the closing procedures. Closing the library will usually take
approximately fifteen minutes.
- At 15 minutes prior to closing lock the front doors by locking the bottom locks on the left three doors and use the hex key to release the pushbar; return key to the drawer by the circulation terminal.
- Use the closing bell and ring for thirty seconds to announce that the library is closing.
- Check downstairs to inform people the library is closing.
- After assisting any remaining patrons with circulation needs, close all windows on the circ computers. Do not shut down the computers.
- At 5 minutes prior to closing, check the library for patrons one more time and turn off lights as you proceed through the library.
- Check that the doors are closed when leaving the library. Sometimes the door sticks so be sure to give it an extra tug to double check.
When opening or closing, please follow, fill out, and sign the appropriate checklist located at the circulation desk to avoid forgetting any steps. Leave completed forms at the circulation desk and they will be picked up the next morning.
